Tender Process Start to Finish

Receipt of Invitation to Tender (ITT)

The Invitation to Tender (ITT) is received from the customer and formally acknowledged. The opportunity is logged to ensure early visibility and alignment.

Bid Registration

Key bid details, including deadlines, scope, and customer contacts, are recorded in the bid register to ensure clear ownership, traceability, and governance.

Project setup

A dedicated project folder is established using the standard naming convention. This provides a single, secure location for all bid-related documentation.

Initial scope and risk review

The technical team conducts a high-level review of the ITT to understand scope requirements, key risks, and constraints. Any significant concerns or clarifications are identified early.

Bid Approval Decision

Management assesses the opportunity against strategic fit, risk profile, and resource availability. A clear decision is made on whether to proceed with the bid.

Detailed scope and requirements analysis

A detailed technical and commercial review is completed to fully understand customer requirements. Assumptions and clarification items are documented to ensure alignment.

Customer kick-off meeting (If Required)

A kick-off meeting is held with the customer to confirm scope, expectations, communication channels, and key milestones. Outstanding questions are discussed and agreed.

Quantity take-off

Quantities are accurately measured from drawings and specifications to establish a reliable basis for cost development.

Pricing and cost estimating

A comprehensive estimate is developed covering labour, materials, subcontractors, and overheads, in accordance with company pricing standards and best practices.

Risk review and approvals

Key risks, assumptions, and allowances are reviewed and validated. Management approval is obtained to ensure the bid reflects an appropriate balance of value and risk.

Bid documentation preparation

All bid forms and supporting documentation are completed in line with ITT requirements. Scope, pricing, and commercial terms are finalised.

Bid submission

Customer follow-up and feedback

The sales team maintains regular communication with the customer during the evaluation period. Feedback and outcomes are captured to support continuous improvement.
